Your privacy at a glance
Browsing our website doesn't tell us who you are. Even if you accept all cookies, our analytics tools only give us statistics about how pages are used, linked to random identifiers, never to your name, email or phone number. We only know who you are if you choose to send us an enquiry, an application or a privacy request.
How we protect your information:
- Encrypted connections: every page and form is served only over HTTPS, enforced by the browser.
- Protected forms: our forms are shielded from bots and abuse, and what you submit goes straight to our company mailboxes over an encrypted, authenticated connection. We don't keep a database of submissions on the website.
- Masked session recordings: where we use session recordings to improve our pages, all text, including anything you type, is hidden before it leaves your browser.
- Nothing before you choose: analytics and advertising tools load only after you accept them, and you can change your mind at any time via "Cookie settings". "Advertising" here means only EQUICHEM's own ads: measuring whether they work, and showing them to people who have visited our site. We don't show other companies' ads on our website, and we don't sell advertising space or your data to Google, Meta or anyone else.
- Protection against impersonation: our email domains are authenticated, so messages claiming to be from EQUICHEM can be checked by your mail provider.
- No selling: we never sell your data or share it with anyone for their own marketing.
1. Who we are and how to contact us
EQUICHEM designs and manufactures laboratory and pharmaceutical equipment. We are responsible for the personal data described in this notice. Under India's DPDP Act we are the "Data Fiduciary"; under GDPR, the "controller".
- Privacy questions, requests and grievances: use our Privacy Request form, addressed to the "Grievance Officer". A member of our team monitors these requests and handles each one. If you can't use the form, email [email protected].
- Response time: for requests sent through the Privacy Request form, we acknowledge within 30 days and respond within 90 days. For people in the EU or UK, we respond within one month, extendable by two further months for complex requests, as GDPR requires.
Privacy requests are handled directly by our own team, not passed to an outside agency. We have not appointed a Data Protection Officer or an EU representative, as neither is required for the limited personal data we process.
2. What we collect, why, and for how long
We collect only what you give us through our forms, plus website usage data if you accept analytics cookies. We do not sell personal data or use it for automated decisions about you.
| Purpose | Data | Legal basis (GDPR) | How long we keep it |
|---|---|---|---|
| Replying to your enquiry and sending quotations (contact form) | Name, company, email, phone, product interest, message, and your approximate location (city and country) based on your internet connection | Steps you ask us to take before a contract; our legitimate interest in answering business enquiries | While we have a business relationship with you, or until you ask us to delete it; customer records are kept as long as Indian law requires |
| Understanding which products you're interested in, to tailor our reply and follow-up (only if you accept analytics cookies) | The pages you viewed on our site in the last 90 days, time spent on each, and how you arrived (e.g. search or an ad), sent with your enquiry | Your consent | Stored on your device for up to 90 days; once sent with an enquiry, kept with that enquiry |
| Assessing your job application (careers and job pages) | Name, email, phone, position, CV, message | Steps you ask us to take before an employment contract | Until you ask us to delete it, or we no longer need it for recruitment |
| Keeping your CV for future roles (only if you tick the box) | As above | Your consent | Until you withdraw your consent |
| Website analytics and advertising (only if you accept cookies) | Pages visited, time on page, clicks and scrolling, device and browser, approximate location, cookie identifiers | Your consent | Google Analytics: 14 months. Microsoft Clarity: up to 13 months |
| Protecting the website from bots and abuse | IP address, browser signals | Our legitimate interest in keeping the site secure | Short-term, as set by our providers |
You can ask us to delete your enquiry or application at any time using the Privacy Request form, and we will do so unless the law requires us to keep it.
Privacy requests: when you use the Privacy Request form, we use your name, email, country and request details only to handle that request (GDPR legal basis: legal obligation). We keep a record for as long as we need to show the request was handled.
Under India's DPDP Act, information you voluntarily send us for a stated purpose (an enquiry or a job application) is processed as a legitimate use for that purpose; anything beyond it (keeping your CV for future roles, analytics cookies) needs your consent.
Please don't include sensitive information in your CV or messages, such as health, religion, caste, political views or financial details. We don't need it.
3. Who else handles your data
We use your data only within EQUICHEM and our group companies ([GROUP COMPANIES]). We do not sell your data or give it to any third party for their own purposes. We do use a few service providers who process data on our behalf and only on our instructions:
| Provider | What they do for us | Where data is processed |
|---|---|---|
| Hostinger | Website hosting and form processing | India, with backups in Singapore |
| BigRock | Email for @equichemindia.com | India |
| Microsoft 365 | Email for @equichem.in | India and other Microsoft regions |
| Cloudflare | Website security, performance and bot protection (Turnstile) | Global network, including the USA |
| Google (Analytics, Ads) | Website analytics and ad measurement, only with your consent | USA and other countries |
| Measuring EQUICHEM's own LinkedIn ads and showing them to people who have visited our site, only with your consent | USA, Ireland and other countries | |
| Microsoft Clarity | Heatmaps and session recordings showing how visitors use our pages, only with your consent | USA and other countries |
| CookieYes | Records your cookie choices | EU/USA |
International transfers: we are based in India, and some providers process data in other countries. For visitors from the EU and UK, these providers rely on Standard Contractual Clauses or other approved safeguards. Under India's DPDP Act, transfers are permitted except to countries the Government restricts.
We may change providers or hosting locations over time. When we do, we will update this list.
4. Your rights
You can exercise these rights free of charge using the Privacy Request form at the bottom of this page (or by emailing [email protected] if you can't use the form). We may ask you to confirm your identity first.
| Right | What it means |
|---|---|
| Access | Get a summary of the personal data we hold about you and how we use it |
| Correction | Have inaccurate or incomplete data corrected or updated |
| Erasure | Have your data deleted when we no longer need it or you withdraw consent |
| Withdraw consent | Withdraw any consent at any time, as easily as you gave it. For cookies, use "Cookie settings" in the website footer |
| Object | Object to processing based on our legitimate interests (EU/UK) |
| Restriction | Ask us to pause using your data while a concern is resolved (EU/UK) |
| Portability | Receive your data in a common machine-readable format (EU/UK) |
| Nominate | Name someone to exercise your rights if you die or become unable to (India) |
Marketing and profiling. If you accept analytics cookies, we use the pages you view to understand which products interest you, so our replies and follow-up are relevant. If you send us an enquiry and have accepted analytics cookies, we give your enquiry a reference number and link your later visits on that device to it, so our follow-up is relevant to what you're looking at. This never leads to automated decisions about you. You can object to this, and to any direct marketing from us, at any time: withdraw consent via "Cookie settings", or use the Privacy Request form, and we will stop.
Complaints: contact our Grievance Officer first. If you're not satisfied, you can complain to the Data Protection Board of India, your EU data protection authority, or the UK Information Commissioner's Office. Malaysian residents may contact the Personal Data Protection Commissioner.
5. Cookies, children, languages and changes
Cookies. We ask before setting any non-essential cookie. Nothing is tracked until you choose, and "Reject All" is as easy as "Accept All".
| Category | Used for | Set without consent? |
|---|---|---|
| Necessary | Remembering your cookie choice; bot protection (Cloudflare) | Yes, the site needs them |
| Analytics | Google Analytics (which pages are visited and how); Microsoft Clarity (heatmaps and session recordings); remembering the product pages you viewed for up to 90 days so we can tailor our reply to your enquiry | No |
| Advertising | Google Ads and LinkedIn: measuring whether EQUICHEM's own ads lead to enquiries, and showing our own ads to people who have visited our site. We don't display other companies' ads or sell ad space | No |
You can change or withdraw your choice at any time via "Cookie settings" in the footer of every page.
Children. Our website is not directed at anyone under 18, and we don't knowingly collect their data. If you believe a child has sent us data, contact us and we will delete it.
Languages. On request, we will provide this notice in English or any language listed in the Eighth Schedule to the Constitution of India.
Changes. If we change this notice, we will update it here with a new date and version number.
